Responsible for ensuring service uptime and reliability for messaging and collaboration platforms, with a strong focus on Microsoft 365 (M365), Exchange On-Premises, Teams, SharePoint, OneDrive, automation, and hybrid environments. Key activities include maintaining operational KPIs, proactively resolving incidents, managing vendors, and driving efficiency through automation and process improvement. The role also requires staying up to date with AI-related components and Co-pilot features to enhance operational capabilities.
Service Uptime & KPI Management
· Monitoring and maintaining the health and availability of M365 workloads, including Co-Pilot and Power Platform, ensuring adherence to defined KPIs and SLAs.
· Rapid response to incidents, performing root cause analysis, and implementing corrective actions to minimise downtime across all collaboration platforms.
· Tracking and reporting on service performance metrics for Exchange, Teams, SharePoint, and OneDrive, identifying trends and areas for improvement.
· Collaborating with internal teams and vendors to resolve service-impacting issues and escalate as needed.
Operations, Automation & Vendor Management
· Implementing and managing automated solutions for routine operational tasks (e.g., mailbox provisioning, Teams/SharePoint/OneDrive compliance checks, health monitoring).
· Using scripting (PowerShell, etc.) to streamline repetitive activities and reduce manual effort across all M365 workloads.
· Maintaining up-to-date knowledge of M365, Exchange, Teams, SharePoint, OneDrive, Power Platform, and AI-related components including Co-pilot features relevant to operations.
· Identifying opportunities for automation and process optimisation to improve service reliability and efficiency for all collaboration services.
· Managing relationships with vendors, coordinating support, and ensuring timely resolution of escalated issues.
Change Management, Risk Management, Incident Management
· Leading and supporting change management processes for messaging and collaboration platforms, ensuring changes are planned, documented, and communicated.
· Identifying, assessing, and mitigating risks associated with messaging operations and platform changes.
· Managing and resolving incidents, including escalation, documentation, and post-incident reviews to drive continuous improvement.
Compliance, Security & Retention Policies
· Ensuring compliance with organisational, legal, and regulatory requirements for messaging and collaboration platforms.
· Implementing and maintaining security controls, monitoring for threats, and responding to security incidents.
· Managing retention policies for email, Teams, SharePoint, and OneDrive to ensure data is retained and disposed of according to policy and compliance standards.
Hybrid Setup & Directory Synchronisation
· Supporting and maintaining hybrid messaging environments, including Exchange Hybrid configurations.
· Managing and troubleshooting Azure AD Connect (AAD Connect) for directory synchronisation between on-premises Active Directory and Azure AD.
· Ensuring secure and seamless mail flow and user provisioning across hybrid setups.
· Keeping up to date with best practices and changes in hybrid and synchronisation technologies.
Exchange On-Premises Operations
· Maintaining on-premises Exchange servers, including regular health checks and patch management.
· Managing mailboxes, databases, and ensuring database availability and integrity.
· Configuring and supporting network load balancing for high availability.
· Managing SMTP relay concepts and troubleshooting mail flow issues.
· Handling certificate renewals and ensuring secure communications.
· Performing backup, restore, and disaster recovery operations for Exchange environments.
· Strong operational expertise in M365 (Exchange Online, Teams, SharePoint, OneDrive) and Exchange On-Premises.
· Experience with Power Platform (Power Automate, Power Apps) for operational automation.
· Proficiency in automation tools and scripting (PowerShell, etc.).
· Analytical and problem-solving skills for incident resolution and service improvement.
· Understanding of Active Directory, Azure AD, and hybrid directory synchronisation (AAD Connect).
· Familiarity with Microsoft Licensing and service management (on-premises and cloud).
· Awareness of AI-driven tools and Co-pilot features for operational enhancement.
· Professional certifications in Exchange Server (On-Premises), Exchange Online, M365 Administration, Co-Pilota, automation technologies (e.g., PowerShell, Power Platform, or equivalent), compliance, or cloud technologies are advantageous.
